Job description

As HR and Office Manager at Excelerated Support, you will have responsibility for day to day HR function and the office administration activities for:

  1. Cordis Solutions
  2. Excelerated Applications
  3. ExceleratedS2P
  4. Excelerated Support Services

Key responsibilities

  • HR personnel administration
  • Maintaining HR Records, paper copies, electronic
  • Be first point of contact for HR queries
  • Update contracts and also employee handbooks as per legislation and companies’ instructions.
  • Maintain records of absence and holidays
  • Take minutes at investigations/disciplinary meetings as and when required
  • Ensure benefits scheme are up to date

HR recruitment

Performing and managing the recruitment process, including activities such as:

  • Writing up the requirements and jobs specifications with the requesting managers
  • Finding and performing the initial screening of candidates
  • Performing and arranging recruitment interviews
  • Keeping all the parties aware of the process and status of each application.
  • Performing reference checks and also eligibility to work documentation
  • Performing the induction process

HR personnel development and training

  • Assist and manage the performance Review process
  • Assist and manage the mentor scheme
  • Assist, develop and secure training that has been identified for our personnel
  • Manage and ensure all the points on the Personal Action Plans have been actioned.

HR personnel on-boarding / IT readiness

  • Responsible for the creation and maintenance of User Accounts on all business systems, ie o Microsoft Active Directory
  • Microsoft Exchange and SharePoint
  • SAP ERP system/s
  • Salesforce
  • Other business systems ie Cloud systems ; SAP Ariba, Coupa, Partner Portals, GoToMeeting, Powwownow, AdobeSend, … etc
  • Preparation / Configuration / Co-ordination of laptops and phones for new recruits
  • Maintain the company’s SharePoint Repositories
  • Maintain the company’s shared drives
  • Perform the role of the “first Point of Contact” for any IT / Technology related support requirements.

General administration and office management

  • Diarising Director and internal meetings
  • Answering the phone
  • Ordering stationery and supplies
  • Filing and other administration tasks
  • Booking travel
  • Supporting staff working overseas with individual requests
  • Maintaining our internal SharePoint site
  • Organising social functions
  • Basic reception duties
  • And any other task to ensure the smooth running of the office / as required

This is, by nature, a very varied role which requires high levels of versatility and the ability to multi-task and prioritises a varied workload.

Person requirements

  • Very good communications skills
  • Ability and experience to work under pressure and prioritise
  • Proficient usage of Microsoft productivity tools, i.e. Office, Access, and Visio
  • Strong integrations and analysis skills
  • Inquisitive self-starter
  • Educated to a graduate level
  • Awareness and technical understanding of Microsoft SharePoint and/or SAP (Desirable)
