Job description

The central element of the role is to manage and grow the centre while maintaining BYT’s exceptional standards of tuition. This involves managing a diverse group of staff and tutoring 100 students who have specific educational targets and vary in terms of age and ability. In addition to providing fantastic customer service and ensuring retention of current clients, the role will also require a good deal of selling, marketing and PR to ensure growth.

Furthermore, the position encompasses the recruitment, training and HR for tutors and marketing assistants along with any administrative duties involved with all the above.

The position is extremely varied and offers insight into all elements of a commercial enterprise. The candidate must be prepared for the responsibility of overseeing staff, children and the centre itself. To be successful in this position, one must be able to make shrewd decisions and see them through. Exceptional organisation, planning and time management are crucial to success. As the business is customer-centric, a personable, confident and friendly persona will be a huge boon. The ideal candidate will approach situations (whether familiar or unfamiliar) with a positive attitude and be hungry to learn and develop their potential as the centre continues to prosper.

BYT High Wycombe is one of four current tuition centres based in the south of England and we anticipate opening more. We encourage cooperation amongst all four centres and expect Centre Directors to share ideas and knowledge. Responsibilities and duties:


  • Use TutorCruncher (CRM database) to add new clients, keep track of prospects and keep updated information on current clients
  • Invoice clients each month and chasing late invoices
  • Ensure childcare vouchers are set up and processed correctly
  • File all registration sheets, assessments, invoices and other paperwork
  • Photocopying, laminating and printing as needed
  • Update the notice board and any other relevant posters in the centre
  • Procure any stationary, toiletries and any other required equipment
  • Ensure the centre is clean and tidy
  • Carry out parent updates & feedback meetings
  • Keep the calendar up to date with meetings, lessons and assessments
  • Ensure that monthly centre reports are filled out
  • Create rental agreements for parties hiring out the centre
  • Update the timetable/pricing sheet as necessary
  • Create holiday timetables and booster courses/mocks for the holidays
  • Ensure any outbound invoices are passed onto to accounts
  • Update and maintain the filing system for students work


  • Send broadcasts to potential clients using TutorCruncher
  • Hand out flyers at schools to promote the centre
  • Keep what’s on page updated to maintain website at the top of Google
  • Advertise on Facebook
  • Advertise on listing sites
  • Design posters/resources to aid with advertising
  • Organise stalls at local or school events
  • Offer monthly deals to encourage current members to refer us to friends


  • Book in assessments
  • Take inbound phone enquiries and converting to assessments
  • Sell to potential clients, face to face during assessments
  • Sell additional booster classes, 1-2-1 or mocks when necessary
  • Make outbound phone enquiries to follow up prospects
  • Ensure that you follow selling procedure
  • Follow up any missed calls
  • Respond to email enquiries


  • Recruit new tutors and marketing assistants
  • Run any initial tutor/marketing assistant training
  • Run regular training for tutors
  • Ensure tutors are added to TutorCruncher and have CRB checks, contracts, payroll info filed
  • Ensure tutors are paid appropriately
  • Write references
  • Lead staff reviews
  • Follow the correct procedure for staff who are leaving
  • Follow disciplinary procedures & terminate employment if necessary


  • Keep the staff rota up to date
  • Organise 1-2-1 sessions during holidays with tutors/parents
  • Organise extra courses, daytime sessions and mocks with tutors
  • Manage 11+ and GCSE classes to ensure they are running correctly
  • Ensure that marking is kept up to date
  • Ensure that staff are keeping to their responsibilities and tutoring is in line with BYT standards
  • Liaise with tutors and parents regarding student’s progression
  • Handle any complaints from staff or clients
  • Liaise with upper management


  • Tutor children (ages five to 16) in maths and English
  • Run the 11+ class when necessary
  • Run the Secondary school class when necessary
  • Provide brief feedback to parents upon pickup
  • Mark work, print new booklets and ensure students go through their corrections

Person requirements

Qualifications and experience requirements

  • At least a 2:1 or above with a relevant undergraduate
  • Experience in sales, tutoring or management required
  • Excellent organisational and interpersonal skills needed
  • DBS check required (can be set up by the company)
  • First Aid training required (can be set up by the company)
