Events Co-ordinator

Job description

We are looking for an enthusiastic, organised individual to join our team and to

  • be responsible for the seamless coordination, support and organisation of the highest quality training and conference events, ensuring LLG is delivering nationwide course and networking events of tangible value to our membership
  • help position LLG as the market leader in local government legal training through the delivery of a targeted and diverse program of events and conferences each year
  • market the program to LLG members to encourage take up and attendance to ensure the financial viability of the training program

Main accountabilities

To work closely with the training developer to ensure innovation in the delivery of training by courses and conferences, webinars, podcasts and meetings:

  • Plannsing: cheduling the yearly events program
  • Venue management: researching and selecting venues, liaison and planning
  • Speaker management: investigating topics, selecting and booking speakers, contracts & liaison with speakers
  • Exhibitor management: sourcing exhibitors, contracting, and managing delivery of an engaging exhibition space
  • Supplier management: liaising with brochure team, printers, excursion providers, entertainment providers and artists and AV team.
  • Course materials: designing, organising and producing extensive course documentation and PowerPoint presentation materials, information packs for delegates
  • Marketing: promoting the courses to the membership via email, the website and social media to maximise interest and attendance, contribute content to the weekly membership bulletin
  • Course administration: managing delegate bookings, invoicing, bespoke pricing negotiations for in-house events, use of survey monkey to research membership
  • Course management: administering the live event & managing the delegate experience, obtaining and analysing delegate feedback, act as the LLG contact during the event

What we are looking for

  • High level of literacy and maths skills
  • Creative flair for design in publications, course marketing, brochures and promotional materials
  • Working knowledge of Microsoft software
  • Ability to work unsupervised on occasions, prioritise tasks and taking responsibility for own decisions to meet agreed deadlines
  • Excellent organisational skills
  • Confident and out going
  • Excellent attention to detail
  • Willing to travel to events and meetings with flexibility for some out of hours working
  • Good understanding of the need for confidentiality and be able to demonstrate steps to ensure integrity.
  • A working knowledge of the mechanisms of events delivery and management
  • Good understanding of marketing opportunities and approaches on the website and social media
  • Understand the principles of a membership services organisation and service delivery
  • Social media

Desirable but not essential

  • Working within events management
  • Working in an externally facing role to include dealing with customers or clients
  • Experience of drafting communications on behalf of an organisation with a local or national profile
  • Experience of contributing to the delivery of a large project involving teamwork
